Tricks and Tips?
To optimize saving opportunities vendor and accounts payable information must be exported into a spread sheet format. When the information is sorted and refined so that empty fields are reviewed and filled in, when necessary, then the completed data must be imported into a database.
Information on each account must be obtained from billing records, files, vendors, internet and employees. When this information is compiled and specific items are targeted for Cost Reduction, selected accounts can be worked to achieve cost savings.
The team approach to working with vendors and/or accounts is essential if the project is to maximize savings. All parties working with vendors must work with the negotiating party and coordinate all communications. It is anti-productive for more than one person to negotiate with an account at the same time. Make sure that all information and communications are directed to one person chosen to handle the Cost Reduction negotiations.
Turf battles and Egos?
Whenever a person's area of influence is invaded by an outsider, turf protection appears on the scene.
To maximize cost savings turf battles must be kept to a minimum. The top management must instruct the employees involved to join together to reduce costs. Management must monitor all aspects of employee influence for each Cost Reduction project.
It is common that the employees will road block and hinder the success of the project because in most cases, the employee(s) involved feel this directly reflects on their job performance. The typical employee does not want Cost Reductions services to succeed.
In addition, it is very invasive to have an outsider look over the work an employee has done during the past several months/years. Defensive behavior will develop.
If you came into my office and started to review my performance I would also become defensive.
Communication and management influence must work together to reduce turf battles.

Communication, Communication, Communication: All parties involved in the project must develop communication strategies that allow all frustrations, fears and non business influences that hinder positive results to be controlled. The goal is to achieve critical results which are to MAXIMIZE SAVINGS.

All parties must work together to maximize profits and reduce costs. The employee time and energy involved in this process is very limited if the project is outsourced. The best time to begin the project is now!
