Some business suggestions:

Look at your maintenance contracts on your printers and copiers.  Costs of new equipment is so low that a throw away policy might make sense.

The number of copies, distance to be walked, misplaced documents left in printer trays, need to have a printed proof before sending a document by email, more efficient use of time must be considered in making printing equipment purchasing decisions.  Also, because of the low prices of printer equipment location of equipment decisions are easier to make.  Put a device, for low volume projects, where ever it is going to be used efficiently.

After a detailed analysis is completed determine where the high volume is taking place and route high volume to machines that are priced properly on a per copy basis.  All other low volume copying, faxing and scanning can be done on inexpensive machines placed throughout the work environment.

How to purchase office supplies at reduced costs:

Determine what the 200 most common office supply items purchased by your organization are.

Once determined contact three office supply operations and set up a generic quote for these items.

Insist that your staff abide by the rules and purchase generic items as much as possible.

Use on line ordering with the generic list as a drop down and fix on line ordering so that only items on the list can be purchased.  Other items need special permission.

This should reduce your office supply costs by 20% to 40%.

VOIP tips and tricks:

VOIP (Voice Over Internet Protocol) comes in many types, kinds  and works on many different network connections and equipment.

                    There are two major areas to become familiar with.

The type of equipment and network must be understood.  The internal equipment and network and external equipment and network must be analyzed and carefully integrated into the plan.

If you are going to replace your internal routers and equipment make sure the vendor you select has lots of VOIP experience and is familiar with all aspects of what you are trying to accomplish.  In addition, know that VOIP is not as easy to handle as your existing phone system.

If you are using VOIP to communicate with the outside world make sure your connections to the carrier are through experienced VOIP carriers and make sure you check references.

If the installation is substantial set up a pilot location with just a few lines and test the service.  If it meets your requirements then roll it out.  If not stop!!!

If you need to call countries like India make sure the quality of the VOIP services is adequate.  If not stop!!!

Make sure you have an experienced consultant to depend on if VOIP does not go as planned.
